What does not change is the fixed cost floor underneath every trip. Have the party size, the exact ages of any children, the arrival and departure flights, and the diving or non-diving split ready in the first message. That single paragraph lets the desk check real availability across the fleet instead of trading questions for a day while the slot goes.
Ask for a courtesy hold as soon as a vessel looks right, and use the hold to do the checks you would do anyway: crew ratio and roles, tender and safety equipment, insurance cover for guests, and the weather policy for the dates.
